Officer Transitions

A smooth transition ensures new officers understand their roles before taking office. Clearly define expectations and choose a structured transition method.

Pre-Transition Checklist

Before meeting with incoming officers, complete the following:

  • Gather relevant documents and files
  • Review the Transition Worksheet and constitution (update if needed)
  • Complete necessary correspondence (emails, EPRs, SOFS Payment Requests)
  • Outline an ACTION PLAN with outgoing officers:
    • Position descriptions & outstanding tasks
    • Introductions to key stakeholders (staff, faculty, student leaders)
    • Financial information for the Treasurer (SOFS details)
  • Allow new officers to shadow you
  • Prepare updated operations portfolios 
  • Assist with NvolveU updates and RSO renewal

Team Transition Approach

This method includes outgoing/incoming officers and the Advisor in a retreat or series of meetings to:

  • Review and update past records
  • Discuss completed, ongoing, and upcoming projects
  • Address challenges and key information for success

Updating Officers in NvolveU

  1. Log into NvolveU and select your RSO logo
  2. Click Roster under Organization Tools
  3. Update officer roles (except President, Treasurer, and Primary Programmer)
  4. Add/remove members as needed
  5. SLICE updates key roles after required trainings:
    • President & Primary Programmer – Annual Orientation
    • Treasurer – SOFS Treasurer Training

Advisor’s Role

  • Facilitate discussions, provide structure, and offer suggestions
  • Avoid directing decisions—serve as a sounding board
  • Fill in gaps if records are missing
  • Help set Specific, Measurable, Achievable, Relevant, and Time-bound (SMART) goals
  • Provide historical context and policy guidance
