Event Planning & Registration (EPR)

RSOs must use the Event Planning & Registration (EPR) process in NvolveU for any event using University resources or occurring on campus.

Purpose of the EPR Process:

  • Reserves facilities and services.
  • Provides a standard method for approvals and payments.
  • Ensures compliance with policies and regulations.
  • Confirms liability insurance coverage and recommends additional insurance if needed.

When to Start the EPR Process:

Submit the EPR as early as possible. All approvals must be finalized at least three (3) days before the event, but larger or outdoor events may take up to two (2) weeks. SLICE recommends submitting as soon as event details are known.

How the Process Works:

  1. Submit the EPR in NvolveU with detailed event information (location, date, attendance, etc.).
  2. Meet with SLICE for guidance on policies, funding, and logistics.
  3. Advisors and University reviewers will approve aspects of the event.
  4. SLICE staff may request additional details via NvolveU messaging and emails.
  5. Complete additional forms as needed (liability insurance, travel insurance, contracts, etc.).

Proper planning ensures a smooth approval process and a successful event.
