Policy Guide for Recognized Student Organizations

Meeting Rooms

Meetings

  • Recognized Student Organizations (RSO) are allowed to schedule one regular meeting a week in the Nebraska Unions.  A regular meeting is defined as a two-hour block of time, and set-up includes a head table and chairs set-up in rows for the anticipated number of guest unless other arrangements are specified.
  • Reservations must be made no later than noon the day preceding the meeting.  If a reservation is made later than noon of the preceding day, it will be considered a late reservation  The Nebraska Unions will only permit two "late reservations" per academic year.

Events

Nebraska Unions No Show Policy
The Nebraska Unions has implemented a policy regarding organizations that reserve a room in one of the Nebraska Union facilities for a meeting/event, but fail to show for the meeting/event without giving cancellation notification to the Nebraska Unions by noon of the day before the meeting/event.  For meetings/events held on Saturday, Sunday, or Monday, the cancellation notification must be given by noon on Friday.  Cancellation notification must be done with the Reservations department in person, by phone or by e-mail.  Cancellation through the Night Manager, Information Desk or Student Involvement will not be accepted.  Failure to show for a meeting/event creates problems for Nebraska Union staff setting up the room and it also denies other groups the opportunity to use a room that has been held for the original reservation.  Per the policy, consequences for No-Show organizations are as follows:

  • First Offense A Warning Letter is sent to the organization listing the consequences for no-show actions.
  • Second Offense The organization is placed on Probation.  During the probation, the organization will be restricted to reserving a room on an event-by-event or meeting-by-meeting basis at any of the Nebraska Union facilities (City Union, East Union and the Culture Center).  The reservation cannot be made any sooner than the morning following the most recently scheduled meeting/event that was conducted.  This includes series reservations.  The probation will continue to the end of the academic year.
  • Third Offense The organization will forfeit its privilege to reserve a room at any of the Nebraska Union facilities (City Union, East Union and the Culture Center) for the remainder of the academic year.
